If two (or more) signers of the same document cannot appear simultaneously for a notarial act, then the notary may notarize for the one signer who is physically present. The notarial certificate must indicate which signer was present for notarization on that day. We recommend that when adding the physically present signer’s name to the notarial certificate, you add “Only” to clearly indicate that you officiated only for that person on that day. If the notarial certificate has preprinted names of signer(s) who were not present, strike those by drawing a single line and initial the line.

The other signer(s) will require a separate notarial act, performed by the same notary or a different one. A new, separate notarial certificate must be completed for the new notarial act; you may not “add to” the previous certificate even if you are the notary on both occasions. The new certificate language may be stamped, written on or attached to the document. As with the previous certificate, we recommend that the notary add “Only” after the signer(s) name to clearly indicate that he/she officiated only for the named person(s) on that given day.

Always record the details of your notarial acts in a record book or journal. Make a separate journal entry for each separate notarial act performed.
